Daycare and childcare centers

A payroll business that cares for children

Childcare runs on staff. Teacher ratios drive payroll, tuition arrives from families and state programs on different schedules, and food program reimbursements have their own records.

We work with single centers and multi-location groups, including owners who run each location as its own LLC with a management company above them. Each entity gets its own QuickBooks file, with intercompany fees handled cleanly.

Special needs

What makes childcare different, and how we help

Where center owners gain the most from a coordinated office.

01

Payroll is most of your cost

Licensing ratios set minimum staffing, so payroll is the largest expense and must be accurate every pay period.

How we helpWe run payroll for every classroom, track labor cost against enrollment and keep all payroll filings on time.

02

State subsidy timing

Child Care Assistance Program payments arrive on the state's schedule, not yours, which strains cash flow.

How we helpWe track subsidy receivables by family and month, so you know what the state owes and when.

03

Food program reimbursements

CACFP reimbursements are income and come with their own claim records.

How we helpWe record reimbursements separately and match them to food costs so your books and claims agree.

04

Several locations, several entities

Groups often run each center as its own LLC with a management company charging fees.

How we helpWe keep one QuickBooks file per entity, record management fees on both sides and prepare each return.

QuickBooks Online

Books built for childcare centers

Your QuickBooks shows revenue and labor per classroom and per location, so you can see how enrollment drives profit.

Our office sets up QuickBooks Online with a chart of accounts designed for your industry and your entity type, mapped line by line to your tax return. Your books are ready for filing season all year.

Questions

What childcare centers ask us

Are CACFP reimbursements taxable?

Yes. Food program reimbursements to a childcare business are generally taxable income, and the related food costs are deductible. We record both.

Should each daycare location be its own LLC?

Separate entities can limit liability between locations, but each adds a return and books. We help you weigh the structure and set it up.

How do management fees between my companies work?

A management company can charge the locations a fee for shared services. The fee should be documented and recorded consistently in both sets of books.
